State of Indiana Notary Requirements

Eligibility

Be 18 years of age or older.
Be a resident or primarily employed in the State of Indiana.
Be a citizen or permanent legal resident of the United States.
Be able to read and write the English language.
Not have a conviction or civil ruling involving deceit, dishonesty or fraud and not have a conviction where the sentence imposed exceeded six months.
Possess an Indiana driver's license, Indiana non-driver ID or other acceptable form to prove IN residence or employment.

Provisions:

Term
8 years.
Bond
Required. A $25,000 notary bond is required for new and renewing notaries.
Errors & Omissions Insurance
Optional. Indiana Notary "Discount Association Co. strongly recommends that Indiana notaries insure themselves against claims of negligence.
Notary Stamp/Notary Seal
Required. The notary public's seal shall either be a seal press or a rubber stamp. In either case, the notary public's seal must contain the words "Notary Public," "State of Indiana," and "Seal." If a seal press is used, the impression must be inked or blackened so that it may be photocopied. The stamp/seal may also include the notary’s commission name, commission expiration date, commission number and the notary’s county of residence, which is the information required in every notarial certificate the notary executes.
Record Journal
Not required. It is strongly recommended by the Secretary of State and Indiana Notary "Discount" Association Co. to keep a notary journal to record the signer's name, signature, identification, date and other pertinent information that a Indiana notary performs.
Online Notary Course & Notary Exam
Yes all new or renewal notaries must take a online notary course and pass a notary exam. Both are administered by the Indiana Secretary of State and are included with the notary application filing fee.
Jurisdiction
Statewide.
Non-Residents
Not permitted. A notary applicant who is not a resident of Indiana does not qualify for an Indiana notary public commission.
Notary Commission Renewal
An Indiana notary must apply for reappointment and follow the same procedures required for a new appointment. The Secretary of State’s Online Notary Portal will accept filing of an application for reappointment up to 60 days prior to the notary’s commission expiration date.

Step 2

All new and renewal notaries must obtain an Indiana State Police limited criminal history record.

1. Visit: https://www.in.gov/ai/appfiles/isp-lch

2. Scroll to the bottom, click the acknowledgement box and click start search

3. Login or create a new account

4. Start a new search and follow the prompts to complete your request - Note: At the Reason for Request screen, select option 4: Is a candidate for public office or a public official

5. Results will be available instantly, and may be printed or save to your desktop - Note: If you receive an “unresolved request” message, click here to email INBiz for next steps

Step 3

The Secretary of State requires all renewal, new or expired notaries to create an online account. Complete the Indiana notary application on the Secretary of State's website.

Visit the Indiana Secretary of State’s website to begin the notary application process. You must pay a fee of $75.00 at the end of the notary application process. The site will guide you through step by step to help you complete the online notary application.

Required documents:

A copy of the Indiana $25,000 notary public bond.
Signature sample matching the name on your application.
For notary public applications and renewals: Indiana State Police Limited Criminal History Record no older than 30 days from the date of application. After running the limited criminal history record, you will have 14 days to download it from your profile. There is a $16.32 fee for obtaining this record. See below for instructions.

Step 4

All applicants must take an online notary education course and pass an exam.

All applicants must take a notary education course and pass an exam. The education course and exam are available after paying the application fee. Once the exam has been passed, your application will be submitted to the Secretary of State's office for final review. Please allow 5-10 business days for processing. If you'd like to learn more about becoming a Notary Public before submitting the application fee, please review the Notary Fees and the Notary Guide.

All Notaries Public are required to complete a continuing education course every two (2) years. The fee to complete the continuing education is $50.00. You are required to complete 3 continuing education courses, for a total of $150.00, over the course of your 8 year commission. Follow the steps below to get started.

Step 3: Follow the steps to Add Your Commission.
Step 4: Once your Commission is added, from your INBiz dashboard click Edit License under the blue Licenses banner.
Step 5: Click Continuing Education.

Failure to complete your continuing education by the due date will result in the permanent expiration of your Commission. You will be required to apply for a new notary commission. All notary fees are non-refundable.
